What you’ll do:

  • Plan, organize and act as the company representative pertaining to project documentation.
    •  Job Set-Up: COINS data entry of standard customer information, billing information, download excel project budget and cost codes. Distinguish target jobs from non-target and tax exempt from non-tax exempt projects
    • Act as a liaison between Bruner, customers, sub-contractors, owner/general contractor for active jobs.
    • Coordinates the transmission of submittals with the customer and notifies vendors of revision requirements
    • Obtain necessary permits upon request.

  • Maintains and monitors project records
    • Contract
    • BWC and other insurance related records.
    •  Notice of Commencement and Notice of Furnishing
    •  Ensures as-builts are provided and filed
    •  Prepares job specific O&M manuals and collects subcontractor O&M manuals.
    •  Accepted submittals, change orders, RFI, testing requirements, all related project materials and compliance documents.
    •  Maintains log on submittals, RFI’s, purchase orders and change orders
    •  Renew tradespersons medical gas and welding certificates.
  •  Create and maintain reports
    •  Project Execution Log for projects > $100k
    •  Project Assignment Log
  •  Assist Project Manager with change orders. Price out work performed outside of project scope according to contract specifications.
  •  Keep the Project Manager and others informed of issues about the project that may impact client relations.
  •  Collaborate accounting to expedite billing for fixed price and time/material projects < $100k.
  •  Coordinate the set-up of job trailers for larger projects, as necessary.


What Experience You Need:

  • Candidates are required to have at least 2 years of administrative in construction environment supporting multiple Project Managers.
  • Advanced knowledge of Excel software, including macros is preferred. 
  • Knowledge of HVAC, plumbing and refrigeration is preferred.
  • Ability to prioritize, organize and complete multiple tasks within assigned timelines with a high degree of quality
  • Must be able to communicate effectively, both verbally and written. Will be working in a fast paced environment, have excellent organizational skills and attention to detail.
  • Must be a self-starter with a strong sense of urgency and ability to work independently and in a team based environment
  • Knowledge of COINS system, preferred.
