Job Purpose:

The primary purpose of the Project Billing & Controls Accountant is to work directly with accounting and project management team to expedite billing, cost efficiency tracking, and administrative tasks, necessary to enhance project manager’s time and availability to focus on project management, customer relations and operational responsibilities.

What You’ll be Doing:

Working with PM to implement a project specific process to load applicable costs and AIA information into the customers billing spreadsheet.

Entering all jobs, costs codes and budgets into COINS.

Retrieving COINS billing module exports, compile and distribute monthly owner billings.

Following-up with subcontractors monthly to ensure pencil copy and final copy billings are received timely.

Reconciling monthly billing amounts to the corresponding period’s job costs.  

Approving and rejecting invoices for payment, coordinate project payables and receivables with accounting department.

Reconciling monthly costs and perform all audit functions at the end of the job.

Tracking hours and expenditures on contractual items such as general conditions spending and unusual spending against set schedule of values. Inform project manager of expenditures.

Maintaining production report by tracking installed quantities by job daily.

Prepare and distribute reports for field foremen regarding job cost and labor units used. 

Processing RFI’s, Submittals, Change Orders, Operation Manuals, Target Job forms/reports, and Payment Applications.  Scan submittals to H:/drive.

Entry and preparation of change orders in the accounting and project management databases. 

Working with Project Manager, Owners, Architects, Government Agencies, Subcontractors and others involved in the construction of assigned projects. 

Handling all incoming phone calls, typing, file set-up, mailing and filing all incoming/outgoing correspondence, prepare meeting minutes and O&M manuals, fulfill request for drawings and blueprints. 

Maintaining project correspondence and meeting minutes updates in project management database. 

What Knowledge Do You Need to Have?

Technical skills and education:

Candidates are required to have at least 2 years of administrative in construction environment supporting multiple managers. 

Two year accounting degree or equivalent combination of business training and/or related experience. 

Advanced knowledge of Excel software, including macros is preferred.  

Knowledge of HVAC, plumbing and refrigeration is preferred.

Ability to prioritize, organize and complete multiple tasks within assigned timelines with a high degree of quality

Must be able to communicate effectively, both verbally and written. Will be working in a fast paced environment, have excellent organizational skills and attention to detail.

Must be a self-starter with a strong sense of urgency and ability to work independently.

Must present a professional image and represent company professionally on the telephone and in person.

Excellent interpersonal skills and ability to effectively interface with people at all levels inside and outside the company.

Ability to research and collect data.

Can learn new skills and knowledge; picks up on technical things quickly.
